Activities and Responsibilities

Assisting in the preparation of Month End Management Accounts including Income and Costs Truing Up, Variance Analysis, Posting Journals, Updating checklists and SOX controls and preparing Reports and Backup files for TB Reviews.  Also assisting with Forecast and Budget including Analysing Customer Numbers and preparing contract version splits across Markets as well as updating DuoS Costs and Consolidated Reports.

Purpose

To assist project teams in the production and administration of project information.  To ensure the smooth operation of the office function on a day to day basis through supporting and providing a service to the internal customer.

Relationships

Key Responsibilities

• On Project Activity

To support the project team through contributing to the production of information, and through carrying out ad hoc duties at the request of the project team.  Some duties will include:

Making physical models of projects
Producing images, preparing reports, drawings and visualizations using the appropriate IT package
Printing documents and drawings, presenting in appropriate manner (binding for example), and distributing
Updating drawing registers
Preparation of materials for exhibitions, presentations and other purposes
Project filing and archiving
Providing support during team meetings
Maintain office manual and update

• Office Activity

To communicate clearly and positively with the Office Manager and other members of the Project Assistant team to ensure a full and smooth office operation.  Some duties will include:

Covering the reception desk, taking and directing telephone calls using the switchboard system, and ensuring messages are delivered to the appropriate persons
Sorting and distribution of post
Providing refreshments and catering for meetings
Preparing the dining area for lunch, and assisting in clearing away after lunch
Ensuring office stock levels are adequate to support the office function
To observe and support Health and Safety in the office

• System Maintenance

To check printers and photocopiers once a day to ensure they are fully stocked with paper.  To respond to jams and assist staff in printer and copier use.

• IT Logistics

To assist with office moves whilst observing H&S principles.  This may include the relocation of office equipment and hardware.

• Training

To assist with the training of new Project Assistants and to take responsibility for the Project Assistant Manual, ensuring that it is up to date with relevant policies, and procedures.

To assist with the supervision of work experience placements, and provide day to day coaching to enhance their knowledge of our business.

Quantitative

To maintain systems in working order and reduce losses by efficiently communication and where necessary actively coordinating the repair of faults occurring the IT and office equipment.

Objective:

The company undertakes projects on behalf of a number of clients. The Project Services comprises the discrete functions of Planning, Cost Management, Estimating, Procurement, IT, Admin and Billing in support of the projects. The candidate will undertake a series of projects in one or more of the above functional areas. Typical projects would include:

  • Analysis and recommendation on performance against our estimating norms both for onshore engineering and offshore construction
  • Preparation of presentation material and workshops in support of our forthcoming upgrade of our cost and planning system
  • Review of material expediting and participation in improvement process

The exact project(s) that will be worked cannot be fully defined at his stage and will depend on business priorities at the time.

Scope of work:

For each project as assigned:

  • Discuss requirements with key management and support personnel to determine the best design and delivery of the project
  • Liaise with RDS IT department to obtain technical assistance as required.
  • Attend appropriate training where appropriate.
  • Consult various technical sources to collate information required for the project.
  • Prepare reports/instruction materials on any proposed new or improved way of working

As part of each project, there will be a period of hands-on experience within the respective function to better understand the business attributes before embarking on the project in detail.

Mentor:

The student will report directly to a key member of the Project Services staff (e.g. Project Services Manager, Supply Chain Manager etc) who will have responsibility for welfare and support.  The mentor will keep an overview of progress, but may delegate daily supervision of tasks to others.

Requirements

Students looking to study Business Studies, Finance, Accounts,  IT/Computing as a degree choice. Ideally have excellent Maths, organisational, communication and computer skills. Higher or equivalent in English and Maths, Accounts or Business Studies would be advantageous.
